Create a report of shape data- Visio.
Export shape data to a database.
Click Add, andthen type a name for the shape data set.
Click in each shape data field, and type or select a value.
You can add additional data columns to use as Shape data.
The Shape Data window opens and displays the current data fields and values.
Right-click anywhere in the Shape Data window and click Define Shape Data.
The text appears when the mouse pointer is held over the field in the Shape Data window.
If the Shape Data window is not open, on the View menu, click Shape Data Window.
However, please note that any changes made in the Shape Data window do not get pushed back to the source.
Select this option to copy the current values from the data source cells into the shape data fields.
Note: The contents of the Shape Data pane show the data for the selected shape only.
The report definition determines which shapes are reported on and which shape data are included in your report.
Cell names of the shape data that appear in the list are preceded by Prop, such as Prop. Cost.
As a result, shapes in your organization chart will each have shape data fields for these same properties.
Right-click the selection, point to Data on the shortcut menu, andthen click Define Shape Data.

All of the shapes will look the same, but their shape data fields will be populated according to which record they're linked to.
If you want to add the same set of shape data every time you use a particular shape, you can save time by adding the data fields to a copy of the master shape. .
You can use these definitions,change them to incorporate any shape data that you added to your drawings, or create new report definitions by using the Report Definition Wizard.
To see the data for an individual shape, open the Shape Data window at Data> Show/Hide> Shape Data Window, then select the shape. .
You can add data to each shape by typing it in the Shape Data window- on the View tab, in the Show group, click Task Panes, and then click Shape Data.
